What is the payment due date?
The payment is due before the booking takes place.
If you pay by invoice we will ask you to transfer the money within the week after the date of your confirmed book. If you pay by Credit Card or Paypal, you will be charged directly.
If you want to pay after the event, just book the extra ‘Late Payment’. You have up to 14 days after the event for the payment.

After you cancel a booking, you will receive a cancellation invoice. This will be sent to the email address you used for the booking process.

Credit card
Paypal (only for bookings via Spacebase)
Bank transfer/Invoice
iDeal (only for bookings via Deskbookers)
It is not possible to pay at the venue when you booked through Spacebase or Deskbookers. Unless otherwise stated on the booking platform.

The invoice will be created when you select a payment method. Then it is sent to the email address you used to make the booking. The invoice is also available for download on the booking platform. You just need to login, open the booking and go to the tab ‘Accounting’.

As we are your contractual partner and invoice you, don’t pay the space provider- if not otherwise stated on the booking platform. Thus, please, let the Support Team know immediately.
We will never ask you to pay for anything outside of our booking platform, through email or through a third-party booker.

If you want to change the billing address before the booking is confirmed, just change the invoicing address on the booking platform. You can find your bookings/requests here. Please make sure that the address matches the exact official address of your company, so that the invoice can be processed.
If you want to change the invoice address after the booking is confirmed, please send an email from the address with which you have made the booking to serFew readersWhere can I update the invoice after a booking adjustment?
When there is an adjustment to a booking we do not update the invoice immediately. If there is a change we will wait until 3 days after the check-out before updating the invoice. That allows you to accommodate more changes as the preparation of your booking happens. After 3 days you will receive the final invoice automatically.Few readersWhen will I receive my refund?
Spacebase will ensure that any amount already paid is refunded within 14 working days. A refund will only be made in the event of a timely cancellation.Few readersWhat is the payment procedure?
We, Spacebase, are your contractual partner. That means that you are paying us and we are paying the space provider- if not otherwise stated on the booking platform.
First you need to select a payment method, e.g. by clicking on the button ‘SETTLE PAYMENT’ under the tab ‘Accounting’ on the booking platform. Only then the invoice can be created. Second you will be forwarded to the payment page or the invoice including bank details will be sent to you via email to do a remittance.

We charge bookers processing fees each time a booking is confirmed. Bookers will see this amount on the booking page under ‘Pricing breakdown’.
We use the booking costs to keep the different platforms running and to optimize it. It includes e.g. handling of external parties, insurance coverage, and customer support.
The calculation of processing fees is based on a number of factors, such as the subtotal of the booking, the duration of the booking, and characteristics of the location.

SpaceGuarantee is a far-reaching, four way protection included in every Spacebase booking.
1. Event Protection Cover
In general, our portfolio consists of reliable spaces. A space provider is not allowed to cancel your confirmed booking. If the provider does, we’ll find you a similar or better venue, or we’ll refund you. Our Space Management Team will reach out to the venue in order to solve this matter.
2. Check-In Security
If you are not able to check in into your booPopularHow to contact a space provider?
Before your booking or reservation you can contact the space provider by sending a direct message via the space profile. Just go to the section ‘The host/provider’ and click on ‘Contact now’.
During the request setting process you can also add a message for the space provider to your request. Just click on ‘Message to provider’ under step 7 ‘Finalize’.

You can cancel the booking by yourself on the booking platform directly:

Definitely! Most of the spaces are bookable per hour. You find the hourly and daily price in the space profile. Be aware that some spaces charge a minimum booking fee, which you can also find under ‘Pricing’.Few readersHow to read your booking export?
You can find your booking export on the booking platform. Open your booking and under the ‘Pricing breakdown’ is the PDF ‘Export bookings as pdf’ available.
It contains all booking-relevant information, like e.g. the ‘Pricing breakdown’, ‘Booking information’ or space details.

A booking: you clicked on the button ‘BOOK NOW’. That means you requested a booking. The confirmation of the space provider leads to a binding booking. Cancellation fee may occur when canceling.
A reservation: you clicked on the button ‘RESERVE’. That means you requested a reservation. The confirmation of the space provider leads to a non-binding reservation which is valid for 3 days. Now you have 3 days to make your final decision and make a binding booking out of it. After the 3 daysFew readersHow to adjust details of a confirmed booking ? How can I update my booking?
You have booked a space but there are some changes to be made on the booking? No problem!
Open the booking and go to the tab ‘Adjust booking’. Please don’t forget to click on the button ‘REQUEST CHANGES’ when you are done.
The request will be sent to the space provider and she/he will confirm or decline it. In case of approval, your booking will be updated and you will be notified. Most of our spaces accept changes automatically so that you will receive a confirmation immediately.

That depends on the space. Most spaces allow you to bring your own food to the space. In this case you will be able to book the extra ‘Bring your own food’. Some spaces charge fees in case you organize the catering yourself. Others allow it for free. It is possible. Reserve a space you would like to see and leave a message for the space provider to schedule a visit under the tab ‘Conversation’. You will see the exact address of the space on the hire details page when your booking is confirmed. Just click on ‘Show map’ under the tab ‘Space information’.

Enter the check-in & check-out date + time, the number of guests and the city in the search fields on the homepage and click on the button ‘SEARCH’.

While we expect cancellation initiated by space providers to be rare, we understand that those unfortunate circumstances may occur. If a space provider cancels your confirmed booking, the transaction amount will be fully refunded. Of course, we will try our best to re-accommodate you, either at another space or at a later time in the same space.
